Basic Requirements

General Objectives

  • Performs administrative and office support activities for the General Counsel. Also may assist the General Counsel in research for litigation matters or other projects as needed.
  • This position reports directly to the General Counsel.

  • Conducting various projects involving legal research using Internet and other approved resources.
  • Fielding telephone calls that come into the office via your direct telephone line or the General Counsel’s telephone line.
  • Keep proper records of documents by either filing or scanning based on instruction from the General Counsel.
  • Administering travel approval request and liability release forms after approval from the appropriate DBU supervising Vice Presidents and the General Counsel.
  • Monitor the state department website for travel warnings regarding current and upcoming DBU affiliated trips along with giving timely reminders (60 days before trip departure) to trip sponsors to continually check the state department website for travel warnings regarding their upcoming trip destination.
  • Checking and updating policies in the Staff Handbook in order to make sure the policies which are in the handbook are up to date.
  • Drafting and sending letters, memos and emails to parties which are involved in matter pertaining to DBU.
  • Comparing previous contracts to proposed contracts upon request of the General Counsel to do so.
  • Proof reading documents written by the General Counsel for spelling or grammatical errors.
  • Updating the appropriate Contract and Liability Release Logs in a timely manner based on when contracts and liability release forms are circulated in and out of the office.

  • Bank Accounts - Download daily balance reporting from the bank.
  • Journal Entries - Prepare and/or review and approve certain monthly journal entries.
  • Audit Documentation – Assist in the preparation of audit schedules for annual external audit.
  • Reconciliations - Reconcile certain general ledger accounts monthly.
  • Wire Transfers – Process all incoming wires as needed.
  • Financial Aid - Run certain Colleague processes to post financial aid transactions.
  • Commission Checks - Reconcile/receipt vending, appliance, and other commissions.
  • Daily Cash Reports - Prepare daily cash reports for senior management.
  • Prepaid Expenses - Recognize expenses as prepaid items and amortize them over appropriate time periods.
  • Processing - Run certain Colleague reports daily to post transactions from the A/R subledger to the general ledger including the PGLT process.
  • Cashier’s Office - Provide support to the cashier’s office as needed.
  • Imaging – Coordinate all accounting related imaging projects.
  • Training – Supervise student training.
  • Other - Other duties as assigned.

  • Lead recruiting efforts and sport instruction while working with the Assistant Director of Athletics to oversee day to day operations of the bowling program.

Work Schedule

  • The position of Head Bowling Coach is a part-time position. Must attend all practices, competitions, and other events.

Compensation/Benefits

  • As agreed upon with the administration, commensurate with experience and qualifications. Tuition remission included.

  • Coordinate all aspects of bowling team practices/activities.
  • Supervise the bowling team at all practices, contests, campus, and community events and trips.
  • Recruit and retain high-level students to the program.
  • Instruct players in strategies and performance principles.
  • Support the individual educational goals of students and provide opportunities for academic assistance to students if required, monitoring the academic progress of each participating student.
  • Organize team activities/travel in collaboration with the mission statement of Patriot Athletics.
  • Perform other duties as assigned in support of the campus and Patriot Athletics.

Responsibilities

  • Prepare Campus Emails, Memos, and Letters on behalf of VP.
  • Be familiar with monthly memo distribution and organization.
  • Assist in maintaining calendar and work schedule for VP.
  • Supervise student work personnel in VP’s Office.
  • Keep records of employees for Financial Affairs.
  • Assist in the renewal of the University insurance.
  • Assist with binding property, casualty, auto, and liability insurance for the University, maintaining records to support insurance coverage, and act as liaison with the insurance broker.
  • Record keeping of insurance claims/renewals of policies/general information concerning University insurance policies, and property spreadsheet.
  • Keep vehicle files updated and insured.
  • Sort and distribute mail to Financial Affairs.
  • Greet and assist visitors in office.
  • Handle phone calls in office.
  • Assist in preparing correspondence for area.
  • Assist the VP for Financial Affairs in preparing materials for the Board of Trustees of Dallas Baptist University.
  • Maintain current list of Student Worker Tuition Remission Positions and distribute forms and memos each semester.
  • Prepare PO requests for Financial Affairs monthly.
  • Prepare all paperwork for new employees including payroll advice, computer access, and keys.
  • Miscellaneous duties as assigned.

  • Verifies all needed information for ordering (author, title, ISBN, publisher, cost, etc.)
  • Works with Financial Affairs to add vendor information to Colleague database for new vendors and updates of vendor information for those already in Colleague
  • Creates and updates purchase orders
  • Prepares report of monthly expenditures per department to be given to supervisor
  • Maintains record of expenditures for standing orders, direct orders and subscriptions
  • Backup library secretary
  • Backup for ILL supervisor for borrowing requests for faculty, staff and students
