Can my department use bulk mail services?

All DBU departments have access to bulk mail services. However, there are several guidelines that must be met to qualify for bulk mail rates and they are listed below:

  • Must have a mailout of at least 200 identical pieces.
  • Address information must be left blank. Mail house will laser-print address information and indicium on each mail piece.
  • Submit the address list to the mail house as an Excel file. Information should all be under one tab to minimize confusion.
  • Each address list should originate from the IT department. Departments are responsible for providing IT with the proper query, in order to receive an updated and accurate address list to be used for the mailing.
  • Letters must weigh less than 3.3 ounces and flats must weigh less than 16 ounces.
  • Please notify Mail Services of any bulk mailout ten days prior to the mailing, in order to help coordinate any activities that must take place before the bulk mailing can occur.

In order to determine if your mailout is considered a bulk mailout, please contact Miles Maze, Director of Mail Services, at (214) 333-5788 or at mmaze@dbu.edu. Additionally, please print off the Bulk Mail Distribution Form and have it signed off by the necessary personnel to ensure the proper approvals are obtained.
